  • It can't diagnose a problem. It can ask what the caller is seeing and pass that on, but deciding what's wrong is your job.
  • It shouldn't make up prices. It should only quote the prices you give it. For anything that needs a look first, it should book a visit or an estimate instead of guessing.
  • It can't make judgment calls you haven't thought through. If you haven't told it what counts as an emergency, it can't know.
  • It doesn't replace you for difficult conversations, like an unhappy customer or a disputed bill. Those should come to you as a message or, if you turn it on, a transfer.
  • It only knows what you've told it. If your website is thin or out of date, its answers will be too.

Setting up emergency calls

This is the part to get right before you switch it on. Sit down for ten minutes and write a short list of what counts as urgent for your business, and what should happen when one of those calls comes in. For example, you might treat active leaks, no water at all and sewage backups as urgent, and treat a dripping faucet or a quote for a new fixture as something that can wait until morning.

Then decide where urgent calls go. Common choices are: the details are flagged and sent to you right away so you can decide, or the call is transferred straight to whoever is on call. Everything else gets a message and a callback the next working day. Be careful about what you ask the receptionist to tell callers in a dangerous situation. Keep it to instructions you'd be comfortable giving yourself, and leave anything risky to you or the right local service.

Keeping your number and your evenings

You don't need a new phone number. Most plumbers can keep their number and turn on call forwarding, either for every call, only when they don't answer, or only after hours.   4. Try it on real calls before you pay anything, and read the summaries. You'll know quickly whether it's helping.
