What to do about missed calls after hours

Customers don't stop calling at closing time. Practical ways to handle evening and weekend calls without being on your phone all night.

Many customers call when they finally have time: after their own workday, on Saturday morning, or late at night when a problem comes up. If your business closes at 5, those calls go somewhere. Here's how to make sure that somewhere still works for you, without giving up your evenings.

Why after-hours calls matter

An after-hours caller has usually made a decision: they want a haircut, a table, a plumber, a consultation. If they can't reach you, many will try the next business in their search results rather than wait until morning. The customer you lost never shows up in your numbers. They just quietly go elsewhere.

Start by looking at your calls

Before you change anything, find out what you're actually missing. Check your phone's call log or your phone company's online account for missed calls over the last few weeks. Look for patterns:

  • What times do calls come in after you close? Right after closing, late at night or on weekends?
  • Are they new numbers or people you already know?
  • How many left a voicemail, and how many just hung up?

Your options, from simplest to most complete

  1. Improve your voicemail greeting. Ask for name, number and reason for calling, and say when you'll call back. It's free and takes five minutes.
  2. Post your hours everywhere. Update your website, Google Business Profile and social pages so people know when to reach you.
  3. Call back first thing. Make returning after-hours messages the first job of the day, before new work starts.
  4. Add online booking. If customers can book on your website, some will do that instead of calling.
  5. Use an answering service or AI receptionist for after-hours calls. Forward your line only when you're closed, so you still answer during the day.

Handling real emergencies

For plumbers, heating and cooling companies, locksmiths and other trades, some after-hours calls truly can't wait. Decide ahead of time what counts as an emergency for your business and what should happen when one comes in. Whoever answers for you, person or software, needs that list. Common setups:

  • Urgent calls are transferred straight to whoever is on call.
  • Urgent calls are flagged and you get the details right away, so you can decide.
  • Everything else gets a message and a callback the next morning.

Protecting your evenings

The goal isn't to work around the clock. It's to make sure every caller is heard and nothing important slips through. A good after-hours setup means you can put your phone down at dinner, knowing that new customers are being looked after and real emergencies will reach you.

Global AI can answer your calls after hours, book appointments into your Google Calendar, take clear messages and pass urgent calls to you. You can try it free and set it to answer only when you're closed.

Stop sending customers to voicemail.
