Can an AI receptionist take restaurant reservations during the dinner rush?

What an AI receptionist can do for a restaurant's phone: reservations, hours, parking and menu questions. Plus what it can't do, like takeout orders or seating tables.

By the Global AI team

The phone rings at the rush. Three example calls: a table for six for a birthday at 5:45 PM is taken as a reservation, a question about nearby parking at 6:10 PM is answered, and a request for a private dinner for a group at 3:20 PM goes to the restaurant's team.

Yes, for the routine calls. An AI receptionist can take a reservation with the party size, the time and the occasion, and answer questions about hours, parking and the menu, around the clock. It can't take a takeout order, and large parties and private events go to your team to confirm.

Why do restaurants miss calls at the worst time?

The calls come at 6 PM on a Friday, which is exactly when nobody can pick up. The host is walking a family of five to a booth, the bartender has both hands full, and the manager is in the kitchen sorting out a ticket. The phone rings eleven times. The caller wanted a table for Saturday and now books somewhere else.

The other half of the problem is boring. Are you open Sunday? Is there parking? Do you have anything vegetarian? Each answer takes twenty seconds, and each one pulls somebody off the floor. Nobody wants to hire a person to answer the same four questions.

Owners tend to underestimate this second half. A missed reservation call is easy to picture, but the twenty small interruptions around it are what wear a host down by eight o'clock. Count how many times someone says 'one second' to a guest in front of them so they can answer the phone, and you'll see what you're really paying for.

What can it do for a restaurant's phone?

Who handles which call. It handles party size and time, special occasions, and hours, menu and parking questions. It passes large parties, private events and anything it cannot answer to your team to confirm. It does not take takeout orders, know specials you haven't added, or seat tables for you. How big a party can book by phone is the owner's decision.

On a reservation call it asks for the date, the time, how many people and the name, and it notes a birthday or an anniversary if the caller mentions one. For the routine questions it uses what's on your website and in the notes you add. Update the notes and the next caller hears the new answer.

Every call gets a summary, so you see who called and what they wanted without playing back a voicemail. Callers are told at the start that they're talking to your business's virtual assistant. A reservation request goes to you to confirm on Starter, and it goes straight onto Google Calendar on Growth and up.

What should it never decide for you?

Large parties and private events. A birthday for six is a reservation. A rehearsal dinner with a set menu and a deposit is a conversation. The receptionist takes the date, the number of guests and the occasion, then passes the details to your team to confirm. You decide where the line sits, and it's worth deciding on purpose, because the number that feels big on a Tuesday feels small on a Saturday.

It also can't see your floor. It isn't a table chart, so it doesn't know that table twelve is still occupied or that the kitchen is behind. If your reservation book has to match your dining room minute by minute, keep a person in that loop and treat each booking as a request you confirm. The features page lists what each plan does with bookings.

What about takeout orders and specials?

Takeout is the common disappointment, so it's better said plainly: it does not take orders. It can tell a caller how to order from you, using what's on your website. If most of your phone traffic is takeout, a receptionist that only handles reservations and questions fixes a smaller piece of your problem than you hoped.

Specials are the same story. It knows what's on your website and in the notes you add, so tonight's fish only appears if you write it in. A line in the notes, added before service, takes a minute, and forgetting it means the caller hears last week's menu.

When is it not the right fit for a restaurant?

If you already have a host who answers every call quickly through the rush, you don't need one. If you take most reservations through an online booking tool and the phone barely rings, there isn't much to fix. And if your callers mostly want to place orders, look for something built for that. An AI receptionist earns its place when the phone rings during service and there's no spare pair of hands.

If you do try it, start with forwarding only after hours and when the line is busy, not every call. The how it works page explains the forwarding choices, and the FAQ below covers the rest.

Questions restaurant owners ask

Can it take takeout orders?

No. It answers menu questions and takes reservations. For orders, it can share how to order from you, using what's on your website.

What about big groups and private events?

It takes the details, like the date, how many guests and the occasion, and passes them to your team to confirm.

Will it know today's specials?

It knows what's on your website and in the notes you add. Update your notes and it uses the new information on the next call.

Do I need a new phone number?

No. Most businesses keep their number and turn on call forwarding: for every call, only when the line is busy, or only after hours.

Can it send guests a text confirmation?

Not yet. Text confirmations are coming soon. Today it answers calls and website chats and emails you new bookings and messages.
