Everything lives on your assistant's page. In your dashboard, tap “Assistants” and open your assistant. The tabs along the top are “Business”, “Services & FAQ”, “Voice & personality”, “Behavior”, “Knowledge”, “Phone & website”, “Connections”, “Test” and “History”.
Save, then publish
- Make your changes. A bar appears at the bottom with “Save draft” (or “Discard”).
- Tap “Save draft”. Callers don't hear drafts yet.
- Tap “Publish changes” at the top. Your callers hear the new version from then on.
The “History” tab lists every version you've published. Things on the “Knowledge” tab are different: they take effect right away, with no need to publish.
Business
- “Business details”: your business name, main phone number, website, time zone, address, and a few sentences about the business.
- “Opening hours”: tick the days you're open and set the times. Use the + button to add a break or a second shift. Your receptionist tells callers when you're open and only offers times inside these hours.
Services & FAQ
- Add each service with its length in minutes, its price (written how you'd say it, like “from $40”) and a short description if you like.
- Under “Common questions”, tap “Add a question” and type the exact answer you want given.
Voice & personality
- The assistant's name: what it calls itself on the phone.
- Voice: press play to hear each one, then pick the one you like.
- “Speaking speed” (slower to faster) and “Style” (calm to energetic).
- Personality: Warm, Professional, Upbeat or Calm.
- Languages it speaks, and “Also answer in Spanish”.
- Greeting (optional). Leave it empty for a natural one.
Behavior
- Appointments: switch “Let the assistant handle appointments” on or off, then pick “Book real times on my calendar”, “Take requests, I'll confirm” or “Send my booking link”. For calendar booking you can also set the default length, the gap between appointments, the earliest notice and how far ahead people can book.
- “Questions to ask”: what your receptionist asks every new customer before booking or taking a message. Tick “Required” for the ones it must get.
- Returning customers: “Greet returning customers by name” (phone calls only).
- “Transfers & emergencies”: “Transfer calls to a person” with the number and when to transfer. Turn on “Tell me who's calling before connecting” to hear a quick summary first; if nobody answers, your receptionist takes a message instead. “Handle emergencies” lets you describe what counts as an emergency and the on-call number.
- “Notifications & recording”: the email addresses that hear about new leads and bookings, a number to text you about urgent messages, “Text customers a confirmation”, and “Record calls”.
- “Special instructions”: anything else, written like you'd brief a new receptionist. These take priority.
Texts to customers only go out once your business is approved for texting (Settings, “Text messages”). Until then, confirmations go by email.
Knowledge: websites, files and notes
- Open the “Knowledge” tab.
- “Add a website”: type the address and tap “Add”. We read up to a few dozen pages and keep the useful parts. It takes about a minute; the status changes from “Reading…” to “Ready”.
- “Upload a file”: tap “Choose a file” and pick a PDF, photo (JPG or PNG) or Word file (.docx), up to 4 MB. Check the text it read, especially prices, fix anything wrong, then tap “Save”. We keep the text, not the file.
- “Paste text”: give it a title, paste in a menu, price list or policy, and tap “Add”.
- Your receptionist tells callers exactly what's written there, so keep prices up to date.
- Changed your website? Tap the refresh button next to it to read it again.
- Tap the bin button to remove something.
- Parts of a photo it couldn't read are marked [unreadable]. Type in the right words or delete those lines before saving.
Answer questions it couldn't
When callers ask something your receptionist didn't know, it shows up under “Questions to answer” on your Overview. Type the answer once and tap “Save answer”; it uses it from the next call. Or tap “Dismiss”.
Pause it
Tap “Pause” at the top of your assistant's page to stop it answering calls and website chats right away. You keep your numbers. Tap “Resume” to turn it back on.
