What it does
Square works out the open times for each service, and your receptionist books the caller into Square as a customer, at the location you pick.
How to connect
- In your dashboard, tap “Assistants” and open your assistant.
- Open the “Connections” tab.
- Under “Square Appointments”, tap “Connect Square”.
- Sign in to Square and allow access. You come back with “Square is connected. Now pick your location…”
- Under “Location”, pick the location your receptionist books at.
- Under “Services it may book”, tick the services it may book, or leave all unticked to allow every service that can be booked online.
- Under “Who it may book with”, tick team members, or leave all unticked to book with anyone who's free.
- Tap “Save”.
Until you pick a location, the badge says “Almost done” and your receptionist doesn't book in Square yet. Only services you can book online in Square Appointments show up; turn on online booking for them in Square if one is missing.
What gets sent
- A booking for the service and time the caller picked, with the team member if you chose any.
- The caller as a Square customer: their name, phone number, and email if they gave one.
What happens on a call
- Your assistant checks your real openings before it offers a time, and only offers times that are free.
- When the caller picks a time, it books it straight away and tells them it's booked.
- If the caller gives an email address, they also get a confirmation email.
- Callers can ring back to move or cancel a booking. Your assistant finds it by their phone number and name, and you get an alert about the change.
- You get an email about every new booking (set the addresses on the “Behavior” tab, under “Notifications & recording”).
Reconnect or disconnect
Tap “Reconnect” if Square asks you to sign in again, or “Disconnect” to stop. Until you connect a calendar again, your receptionist saves new bookings as requests for you to confirm.
